Quarterly service reviews

A quarterly service review is a scheduled meeting where the supplier reports the quarter in numbers (uptime, incidents, response times, cost, changes) and agrees the roadmap for the next one, with the people who sign the invoice in the room. Hexploits holds one with every managed client, attended by the director.

A named engineer replies within one working day. A written scope and an indicative price within two.

  • Directors who want to know what they are paying for without reading tickets.
  • Finance leads who want cost and value on one page.
  • Compliance functions that need evidence of supplier oversight.

Deliverables, not slogans. Each one appears in the statement of work.

  • A written quarterly report: service metrics, incidents, changes, cost and risks.
  • A roadmap for the next quarter agreed in the meeting.
  • A commercial and contract review, including anything that should change.
  • Actions recorded with owners and dates.
  • Evidence of supplier management for your own audits.

Our engineers work across the major languages, frameworks and cloud platforms. We build on the stack you already run, with technology choices explained in writing before work begins.

The same four stages as every Hexploits engagement, applied to this capability.

  1. Stage 1

    Prepare

The report is sent a week before the meeting.

  2. Stage 2

    Review

Sixty to ninety minutes with your sponsor, finance contact and our director.

  3. Stage 3

    Agree

Roadmap, budget and any contract changes recorded.

  4. Stage 4

    Follow up

Actions tracked in the monthly reports until closed.

Every engagement agrees its measures and the measurement period in writing before work starts.

  • Every quarter reported in numbers and on file.
  • Roadmap agreed and delivered against.
  • Supplier oversight evidenced for regulators and auditors.

  • Director, Gradvisor

Fantastic company and our development partner for Gradvisor, a social mobility careers platform with national ambitions. Extremely responsive and mission-oriented. Cameron owns any shortfalls humbly - rare for IT providers. Thinks like a client too.
